Cutler Bay Thunder (“we,” “our,” or “the team”) operates the Thunder Team mobile app and the cutlerbaythunder.com team portal. This policy explains how information is handled for invited parents, guardians, coaches, and staff.
WHO MAY USE THE APP
Thunder Team is a private, invite-only service for authorized adults connected to the youth baseball organization. Children do not create or manage accounts. Parents, guardians, coaches, and authorized staff manage youth-player information needed for team operations.
INFORMATION WE COLLECT
Depending on your role and the features you use, we may collect an adult’s name, email address, phone number, account or user ID, password credentials, and team role. For registered players, authorized adults may provide a legal or display name, date of birth, jersey size or number, family consents, required forms, attendance, and RSVP information. The app may also process team-chat messages, coach-and-staff messages, photos submitted for approved team sharing, other user-generated content, app interactions, and a device push-notification token or device identifier.
HOW WE USE INFORMATION
We use information to authenticate invited users; manage teams, rosters, families, schedules, attendance, and RSVPs; deliver announcements and push notifications; support team and staff chat; operate Game Day tools such as lineups, defensive positions, scoring, innings, outs, and live play updates; review required team forms; and moderate approved photo sharing. We may also use information to secure, maintain, troubleshoot, and improve the service.
SHARING AND SERVICE PROVIDERS
We do not sell personal information, use it for advertising, or share it with third-party marketers. Information is visible only to authorized users according to their team and role. We may use service providers that process information on our behalf, including website and database hosting, WordPress infrastructure, and Expo, Google, or Apple services used to deliver push notifications. These providers may process only the information needed to perform their services.
PHOTOS AND TEAM COMMUNICATIONS
Adults should upload only appropriate team photos and messages they are authorized to share. Photo visibility and moderation follow team permissions and family preferences. Do not place payment-card, medical, or other highly sensitive information in team chats or photo captions.
SECURITY
We use encrypted connections in transit, role-based access controls, restricted team and family assignments, and other administrative and technical safeguards. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
RETENTION
We retain information while an account, team, or season is active and as reasonably needed for team administration, safety, dispute resolution, legal obligations, and security. When information is no longer needed, we may delete or anonymize it.
ACCESS, CORRECTION, AND DELETION
To request access to, correction of, or deletion of your account or associated personal information, email info@cutlerbaythunder.com. Please include the adult account email and enough information for us to verify the request. We may retain limited records when required for legal, safety, or administrative reasons. Removing a player or family from an active team may limit access to team features.
CHILDREN’S PRIVACY
Thunder Team is intended for parents, guardians, coaches, and staff—not for direct use by children. Youth-player information is provided and managed by authorized adults for team operations. If you believe information about a child was submitted without proper authorization, contact us so we can review and remove it where appropriate.
CHANGES TO THIS POLICY
We may update this policy as the app or our practices change. The “Last updated” date above identifies the current version. Material changes may also be announced in the app or team portal.
